The Look and Feel of Timely Calendar
The first thing you'll Notice about Timely Calendar is how great it looks. Each appointment can be displayed in a different color, depending on which service has been booked. On the appointment itself, you can see the customer's name, the time of the appointment, which service has been booked, and the price.
Different Views of Timely Calendar
There are a few different views for the calendar. We're currently in week view, but you can also choose day view. In the day view, you can see all of your staff members and their appointments side by side. There's also a view to see an entire month at a glance, which gives you a great snapshot of the month.
Filtering Calendars by Staff Members and Locations
On the left-HAND side of the calendar, you have options to filter the calendars by each of your staff members and also by each of your locations. This is useful if you have multiple clinics, salons, or offices, and all of the calendars and appointments for those can be seen under the same account and Timely.
Navigating Timely Calendar
Getting around the dates and Timely is super easy. There's a date selector at the top, and just clicking on the date lets you scroll through and select another date to view. If you want to jump back to today at any stage, you can hit the today button, and that takes you to today. One cool little feature that I'll Show here is this red line. The red line gives you an indicator of the Current time and day, so you can see easily where you're at with your current schedule, and that line moves in real-time throughout the day.
Adding an Appointment
Adding an appointment is really simple. Just click on an available time in the calendar, choose to add an appointment from the list of available services, choose a service, and the duration and price are automatically entered Based on the settings for each of your services. But you can change those for individual appointments as well if you need to, and enter in the name of the customer and hit save. Your new appointment is added to the calendar.
Changing an Appointment
If you need to change an appointment, the easiest way to do that is to click and drag to move it around or click and drag to change the duration of the appointment. There are some other ways to change an appointment if you need to reschedule a customer. Click on the appointment and hit the edit button. This will take you into edit all of the details, including the date, the staff member, duration, and so on. Another way to reschedule, which can be handy if the customer is rescheduling to a date in the future, is to hit this reschedule button. Scroll to the new date using the date selector at the top and select the date and time to move the appointment to, and you'll see here that appointment has been moved.
Cancelling an Appointment
If you need to cancel an appointment, click on an existing appointment, and you can see the cancel button here. Click on that and hit cancel. It's that simple. Obviously, we don't want customers canceling their appointments though, so let's have a look at rebooking a customer.
Rebooking a Customer
Rebooking a customer is straightforward as well. If you open an appointment, there's a book next button. Click on that, and you can scroll to the date that the customer wants to come in for the next appointment. Click on the time that you agree with the customer and hit save. You'll see their next appointment has been made with all of the same details as their existing appointment.
Adding Busy Times to the Calendar
On the calendar here, you'll see these grey lunch breaks. These are busy times. If you need to add a busy time to the calendar, it's easy to do. You can click and drag to block out a time slot, and you can add a description for this if you like, such as a meeting, for example, and click save. The time slot is now blocked out on your calendar. If you need to change it at any time, you can click and drag and move around busy times just like you can with an appointment. And if you become available again, you can just delete the busy time by opening it up and clicking on the delete option.
